The Challenge
A full-service hotel was running its revenue strategy on static reports and outdated templates. Every decision depended on manual data pulls and inconsistently formatted files, which slowed the team and forced revenue managers to work from numbers that were often stale by the time they were assembled.
That lag was most damaging during high-velocity demand periods, exactly when pricing agility matters most. Without a fast, reliable view of current performance, the team had limited ability to react to shifting demand, adjust rate strategy in time, or keep its reporting consistent across the property's business.
The Solution
We built a full suite of real-time revenue management reports connected directly to the property's Oracle PMS database, designed to replace slow manual pulls with live, current-data decision support. The solution included:
- Live auto-refreshing reports covering pace, pickup, forecast, and segmentation, so the team could see performance update without rebuilding files by hand
- Custom forecasting models tailored to the property's specific business mix and seasonality rather than generic templates
- Ad-hoc analytics tools to support rate strategy, package performance, and rate code optimization
- Dynamic dashboards blending historical trends, current booking curves, and market-facing comps into a single working view
- An Excel-based delivery layer powered by a live backend connection to the PMS, letting Revenue Management act on current data without IT intervention
The Results
The hotel moved from manual, inconsistently formatted reporting to a live system that reduced manual reporting time by over 80%, freeing the team to focus on strategy instead of data assembly.
With reports refreshing against the PMS in real time, Revenue Management gained real-time visibility into demand shifts across all segments and could respond to high-velocity periods with current information rather than stale snapshots. Because the suite ran on a stable, documented connection, it supported multiple GM and RM transitions without losing data continuity.
Years later, the engine is still in active use as the hotel's core RM decision support system. Reporting became durable infrastructure, not a recurring scramble.
What made it unique
All reports lived in familiar Excel while running on a live PMS connection, giving Revenue Management current data without depending on IT.
